The Fine Print

By booking your travel arrangement with Greenstone Travel, (hereby “Greenstone”), you are agreeing to be bound by the terms of this agreement and any additional terms and conditions of any supplier that are applicable to your booking arrangements. The lead passenger assumes the responsibility of sharing these terms and conditions with each passenger in their group, including payment of all amounts when due. It is the responsibility of each passenger to read these terms and conditions in its entirety. In addition, Greenstone reserve the right to modify these Terms and Conditions. If there is any part of these terms and conditions that you do not agree with, please do not use Greenstone travel services.

By booking travel arrangements through Greenstone, each traveler agrees to assume the risk of financial loss, personal injury or death which are inherent in travel, and to hold harmless and indemnify Greenstone against all claims and lawsuits arising out of travel arrangements booked through Greenstone. By booking travel services, we are acting as your booking agent for third party suppliers, your contract for services will be with the supplier (or suppliers) and we accept no responsibility for the suppliers’ actions or omissions.

Although it is exceptionally rare, on occasion a vendor may fail to deliver as promised, or events outside their control may affect their ability to provide you with the services you expect. We will always do our best to recommend well-regarded vendors and to help you recover the value of any such failure on the part of a vendor, but our responsibility to you and your guests is limited to providing that assistance. Financial liability for any failure to deliver accommodations or services is that of the vendor, and not Greenstone. For this reason, we suggest always making payments through a credit card, which provides protections that are not available if you pay by cash, check, or wire transfer.

Changes or alterations to schedules/plans/etc may be necessary. Ultimate executive decision on services is up to vendors, guides, and Greenstone, in the best interest of the travelers. In cases where refunds are provided by international vendors, the refund amount received may vary from the payment amount made, due to fluctuations in currency exchange. This possibility is outside the control of Greenstone, and is acknowledged as an inherent risk of business with international entities.

Because your plans may change due to reasons beyond your control or ours, we always suggest that you consider purchasing travel insurance. A variety of coverage plans are available, depending on your needs. Greenstone may recommend and reserve travel insurance on behalf of travelers, however it is a traveler’s responsibility to ensure they are requesting insurance if interested, and are adequately insuring all parties as well as any eventualities of concern.

No service is confirmed unless payment is received by Greenstone or our 3rd party vendors, and confirmation is received by the traveler. Prices and availability are subject to change until payment is received in full for final confirmation.

Greenstone will endeavor to ensure that clients are aware of travel requirements for their destination, but it is the responsibility of each individual to ensure that he or she meets the requirements of his or her destination(s), including as applicable, a valid passport, necessary visas, immunizations, medical clearances, and preauthorization for carriage and the visit itself. In this respect, every traveler should consult the official government guidance of his/her destination, and the information available through the U.S. Department of State.

We strive to ensure that your travel plans are handled with the highest degree of professionalism within Greenstone and when you are actually traveling. You can help us achieve this goal by carefully reviewing the reservations we make on your behalf to ensure accuracy as soon as you receive them. We urge clients to reasonable caution in their travels, to plan for unforeseen events, and to remember that ultimately your safety and that of your family is yours. Greenstone Travel provides hotel and resort booking assistance, as well as VIP pre-arrival support, for travel accommodations within our preferred network. This service is provided at no additional cost to the traveler, unless otherwise mutually agreed. In such cases, all cancellation policies are passed along as stipulated by our third party accommodations partners. In cases where the cost of services cancelled totals more than USD $5,000, Greenstone imposes an additional cancel fee of $250.

Greenstone Travel also provides custom curated, detailed itinerary planning services. This service does incur planning fees, due to the immense time involved in such planning. All planning fees are subject to change, but will be agreed upon by customer and Greenstone prior to beginning planning. Our standard planning fee is $1,500, paid 50% prior to planning begins, and remaining 50% once the itinerary is approved and confirmed with deposit.

In cases of especially complex or time-intensive itineraries, additional fees may be applied after the initial fee(s) has been paid. These additional fees are to be determined based on expected scope of work, however are typically charged in multiples of $500.

In the event of trip cancellation after planning fees have been paid, these fees are completely nonrefundable, and should be covered by travel insurance.

We will make every effort to assist you if you wish to make changes to the Itinerary once approved, but changes may not be possible. All fees are subject to change. A minimum fee of $250 may be charged when arrangements are altered at the traveler’s or travel agent’s request after the initial deposit has been received.

Greenstone Travel works with in-country providers for land arrangements, and an air team which is staffed 24 hours per day, 7 days per week, so that travelers always have expert assistance available for emergencies outside of Greenstone standard office hours. For any emergency issues tended by Greenstone Travel outside of standard office hours (8am – 6pm PST, Monday – Friday excluding holidays), service fees are charged in increments of $250.

It is the traveler’s responsibility to be aware of any payment due dates with third-party suppliers. If payment dates are missed, services may be cancelled without warning, which would be outside Greenstone Travel’s control.
